Beyond the Software: Making Job Management Software Work for Your Roofing Business

A look behind the scenes at how two roofing businesses are introducing TeamPoint in very different ways, and why people, tailored training and ongoing support make all the difference.

There's a world of difference between buying a piece of software and getting everyone in your business to actually use it. A great big fancy system may look impressive and promise the earth, but that won't count for much if your team can't get to grips with it.

Roofing is, for the most part, a traditional industry. Ways of working have often been passed down through generations, with little tweaks along the way. And even though some of those processes may seem old-fashioned, they've served businesses well for years. So it's understandable that managers might be reluctant to change things.

At TeamPoint, we recognise that although the benefits of introducing job management software can be compelling, concerns about disruption to everyday work often put people off. And that's fair enough. Even with full support, training and thorough onboarding, the software won't work as well as it could without a positive attitude towards change and a willingness across the business to make the most of it. It takes time, commitment and plenty of communication. But when everyone gets involved, that's when the magic can happen!

TeamPoint is UK-built job management software, developed to help roofing contractors and other service businesses manage everything from scheduling and site records to projects, purchasing and invoicing. We've recently spent time with two of our roofing customers, JAL Roofing Ltd and R.L. Lovatt Roofing, helping their teams get to grips with the system as part of the ongoing training and support we provide.

The visits were quite different, but both reinforced something we've always believed at TeamPoint: software is just a tool. It's the people using it who make the real difference.

JAL Roofing Ltd have been using TeamPoint to manage the office side of their roofing projects for about nine months and are getting on really well with the platform. They could see the advantages of introducing the mobile app to their roofing teams too, particularly for taking photographs on site, completing forms and accessing job information. Of course, when you're used to getting on with a job, learning a new system can feel like another task to squeeze into the day, especially when you're working outdoors, moving between sites and dealing with everything the British weather throws at you. As luck would have it, JAL were having their offices refurbished on the day we visited, which is how we found ourselves in John Lees Junior's man cave at the bottom of his garden, surrounded by a bunch of burly roofers!

We spent some time introducing everyone to TeamPoint's mobile app, showing them how to access job information, complete forms, take photographs and keep the office updated as work progresses. It turned out that if you can use Facebook or WhatsApp, getting to grips with TeamPoint isn't particularly difficult. Meanwhile, John Lees Senior was getting familiar with the scheduling side of things. Everyone seemed pretty confident and positive about giving it a go, and what started as a training session soon developed into a discussion about how TeamPoint could work best for JAL.

Unlike some of the service businesses that use TeamPoint, JAL's roofers can spend weeks working on the same project. They don't necessarily need to open the app every day, and there wouldn't be much point asking them to do so just for the sake of it. What would be genuinely useful, however, is having a straightforward way to record the right information at key stages of the work, so we explored how TeamPoint's customisable forms could help.

JAL are planning to create their own forms for different stages of a roofing project, which the roofers can select as the work progresses. Each form will guide them through the information they need to record, including photographs, checks and any other details the office requires. Once completed, everything goes straight back to the office and is kept with the relevant job and project. No chasing photographs, trying to work out which roof they're from or searching through WhatsApp conversations for missing information!

It's a practical approach that should save everyone time, improve communication and give JAL a more consistent record of the work carried out. That's particularly useful for demonstrating compliance, keeping customers informed and having the evidence to hand if questions arise later. And because the forms are customisable, they can be adapted as the business discovers what works best.

Rather than expecting the roofers to change everything they do, we're helping JAL fit TeamPoint around the way they already work, making life a little easier for both the roofing teams and the office.

Bringing the whole office together at R.L. Lovatt Roofing

Our relationship with R.L. Lovatt Roofing began with a chance meeting at an NFRC event in Manchester. I found myself sitting next to Brad Farrell, who was full of ideas about how to modernise the systems at Lovatts and help the business grow. Established in 1956, Lovatts has a long history in roofing, but Brad recognised that bringing their systems up to date would be an important part of supporting the company's ambitions.

He'd already been developing his own software to help manage things, having struggled to find an existing system that could do everything Lovatts needed. Naturally, I was keen to tell him about TeamPoint! After all, we've spent around 15 years developing software for businesses across several industries, and much of what he was looking for was already there. Why reinvent the wheel when we could work together? We invited Lovatts to join our roofing pilot scheme, giving them the opportunity to help shape TeamPoint around their requirements while bringing our years of experience to the table.

Our visit to Lovatts was quite different from the afternoon in JAL's man cave! We arrived at a bustling office, with around ten people involved in the demonstration, including people responsible for contracts, operations and solar. Everyone had their own responsibilities, and the session prompted plenty of questions, ideas and lively discussion about how TeamPoint could support the different parts of the business. One of the decisions was to manage all their jobs as Projects, which makes perfect sense given the nature of their roofing contracts and gives them access to more detailed project management, costing, purchasing, variations and invoicing.

It's been a productive partnership already. Working with Lovatts has helped us develop TeamPoint's retention management functionality and improve how variations are handled within Projects, making the platform even more useful for roofing contractors. And with Lovatts also working in solar PV, there's plenty of potential for them to benefit from the solar workflows we're developing too.

For now, the team are concentrating on making the most of TeamPoint in the office, bringing information and processes together and building familiarity with the system. Unlike JAL, they're not introducing the mobile app to their roofers straight away. With so many different roles involved, getting everyone working confidently together is an important first step, and there's no need to introduce everything at once.

What's particularly encouraging is the enthusiasm and ideas coming from the Lovatts team. They're already finding ways to make TeamPoint work for their business, and as they become more familiar with the platform, there are plenty more capabilities to explore. It's exciting to see a long-established roofing company embrace new technology so positively, and we're really looking forward to seeing where the partnership takes us.

Lovatts have been going since 1956 and have deep roots in traditional contract management processes. As the company grew and the amount of information we deal with, we needed a platform that could scale with us. TeamPoint have helped us transition to the modern digital age transforming the way we work and manage data for the better. Lovatts are now streamlining and becoming more efficient in how we manage customers, projects and general information.

Good software is only part of the solution

Although JAL and Lovatts are taking quite different approaches to introducing TeamPoint, they're ultimately working towards the same thing: a more efficient, better organised and more profitable roofing business. Less time spent chasing paperwork, searching for photographs, duplicating information or trying to establish exactly what's happening on a project. Better communication between site and office, more accurate job costing, greater control over variations, purchasing and invoicing, and a reliable record of work completed. And importantly, systems that can support a growing business without the administration growing along with it.

For us, getting to know the people behind a business and understanding how they work is one of the most enjoyable and important parts of what we do. We don't believe that handing someone a piece of software and wishing them luck is much of a recipe for success! Building real relationships, listening to ideas, adapting the platform and providing ongoing training and support are all part of helping our customers get the most out of TeamPoint. And, as we've seen with JAL and Lovatts, we often learn just as much from them along the way.

We're always interested in talking to roofing contractors who want to improve the way they manage their businesses, whether they're considering job management software for the first time or have struggled to find something that really suits them. If that sounds like you, we'd love to hear about your business, how you work and what you're hoping to achieve.
